1. Information we collect
We collect the information you provide directly when you register, build a profile, save documents, and track applications. This includes your email address, academic background, research interests, and application details. We do not sell personal data.
2. How we use your information
We use your data to operate Scholr, match you with supervisors, generate application content, and measure product quality in aggregate. Your research interests and academic details (field of study, GPA, publication titles) may be sent to AI providers to generate personalised documents and outreach emails.
3. How we protect your identity in AI features
Scholr does not send your name, email address, or other directly identifying information to AI providers. When generating documents, emails, or performing supervisor searches, we substitute your name with a placeholder (e.g. "[Your Name]") so that the AI model never processes your real identity. Generated content is returned with these placeholders for you to fill in before sending. Only non-identifying academic context — such as research interests, field of study, and publication titles — is shared with AI providers to produce relevant results.
4. Data storage and security
Data is stored across infrastructure in the European Union and United States with encryption in transit and at rest, plus routine security review.
5. Third-party services
Scholr relies on providers such as OpenAI, Polar, and Vercel for core parts of the product. AI-generated content is produced by OpenAI, which processes requests under its data usage policies. We do not send personally identifying information to these providers. Each provider handles data under its own policies.
6. Your rights
You can request access, correction, deletion, or export of your personal data and account information through support or account settings.
7. Cookies
We use essential authentication cookies and limited analytics to understand product usage and improve reliability.
